Preparation of management reports at regional level

The responsibility for monitoring the FAORs’ and SRCs’ Inception, Annual* and Terminal reports rests with the RO.

The review of the reports, together with the knowledge gained from interacting with the FAOR and country office staff, will give the RO an insight into the issues faced by the Country Offices in the region, their strengths and weaknesses and areas for improvement. In order to capture this wealth of knowledge and make it available as an input into policy decision and initiatives supporting decentralization, ROs are requested to keep OSD apprised of issues concerning Country Offices.   OSD will accordingly report to Senior Management, as necessary.

In addition to regular correspondence with OSD/HQ, initiated as issues arise, there is also a need for more structured feedback on Country Office issues. In this regard, ROs may provide information on issues faced by the Country Offices in the region, as well as proposed steps to address them, through:

    i.            the annual synthesis of FAOR Annual Reports (Regional Synthesis Reports); and/or
   ii.            reports of regional/subregional management meetings.

Regional Synthesis Reports prepared by the ROs as mentioned at (i) above, follow the calendar year and should reach OSD by the set deadline, so that issues can be consolidated into a global report by the end of April.

The Global Synthesis Report, prepared by OSD, is used to brief Senior Management and as a reference for the preparation of OSD work plan.  The Global Report is a tool to obtain the maximum benefit from the FAOR Annual Reports and the Regional Synthesis Reports, to identify lessons learned, to share best practices, and to ensure that there is appropriate follow-up on the main findings and observations. 

*SRCs support the ROs in the preparation of the Regional Synthesis report, as relevant.
